Happy Hour runs every Friday from 5pm to 6pm, and each week people are needed to set everything up. If you are interested in helping, contact Conor (cd424).
Main things to do are:
0. Get the happy hour keys and cashbox. You will get a key to the cashbox, the fridge and the cupboard where we keep ale and snacks. Make sure to keep an eye on the cash box at all times; the money is your responsibility until you return the cash box on Monday.
1. Beer delivery:
Any deliveries will be on Thursday morning, and it is your responsibility to put things away. Reception will be there to receive the delivery and they have the money to pay for the beer. It usually arrives by 11am, so make sure to go down to reception and check if it has arrived. Stock up the fridge with beer and soft drinks for Friday, put the ale and snacks in the cupboard in the alcove as you leave the Pav G common room through the left door into Pav G, and take the rest down to the chiller room. Please make sure you do not overload the fridge (e.g one big box per shelf is probably enough) so that it doesn't get damaged.
2. Beer fridge:
We got a new happy hour fridge, which now sits in Pav G common room. On Friday you need to make sure there is enough beer in the fridge. The fridge is locked and the key will be given to you with the cashbox. If there is not enough beer, then get the key to the chiller room from reception, and bring up the complement of what is in the fridge. Or, you can do this right away when there is a delivery.
3. Posters:
Put up the posters on Thursday evening. 3 things to make sure of:
1. Very important not to stick tape on any of the transfers on the doors as it turns out they come off with the tape.
2. Posters should not be visible to undergrads or the public. Best places are the inner doors in each pavilion, either from common room to offices or the non-locked doors by the exit.
3. Take posters down after Happy hour on Friday.
We discovered you can make a nice black and white A4 poster and photocopy it on to colour (Beth in reception helped us). It needs to say on it somewhere "CMS Happy Hour, friday, 5-6, CMS core or outside if its nice". The tradition was to have a witty picture and caption but don't worry if nothing inspires you at short notice!
4. SET UP FRIDAY:
Move a few tables together in the core to put all the beer on; the facilities guys will help you if you have trouble. Put everything out at about 4:50. Take a good selection of beer, ales and non-alcoholic drinks. The ale and snacks are now kept in a cupboard in the alcove as you leave the Pav G common room through the left door into Pav G. The key to that is on the keychain with the fridge key and the cashbox key. Recycle bins for cans can be found around the central core so grab one and move it to where you are setting up, and the blue bin for bottles is outside behind the cafe by the bridge to pav B.
During Happy Hour: If you see any obvious groups of undergrads having more than one drink, then it would be fair to ask them to leave. Although they are not explicitly invited, they are not explicitly un-invited either; they can have a drink but they are not welcome to 'abuse' the concept of happy hour.
5. Clean Up FRIDAY:
Put any left over beer and soft drinks back in the Pav G fridge. The left over snacks and ales can go back into the cupboard. Break down any empty cupboard boxes and recycle them in the green bin in the parking lot. The bottle openers need to go back into the cash box. Hold on to the cash box until monday, and then return it to where you got it from.
On Monday please let us know if we are running low on anything. Return the key and cash box to Conor.
